Preparing branded, editable documents
The app carries the Carbon Verify name. Your client-facing documents can be plain, professional documents about the reporting organisation, with its own branding if you want it.
Plain documents are the default. Optional logos, an accent colour and preparer details help present the work; they do not change the figures, the review requirements or the status of a self-assessed report.
One set of options for all subscribers
Personalised, editable documents are included in both Standard CRP · PPN 006 and optional Extended footprint. The reporting mode changes the included calculations and disclosures, not your access to document appearance, saved projects or the Evidence Pack.
Select Appearance in Carbon Verify's header. It opens Document appearance in the Check & download stage. You do not need an adviser edition or an extra branding tier. Keep the default plain presentation, or add the organisation’s logo and a dark, readable accent colour.
Where another person or firm has helped prepare the work, you can add optional “Prepared with support from…” details and an adviser logo or credit. Leave them empty if they are not needed. These settings belong to the active project, not every organisation you work on.
- Confirm the active organisation and reporting period before choosing any branding.
- Use a clear logo image that meets the upload format and size limits shown in the app. Check that it remains legible at report size.
- Choose a colour with enough contrast. Keep important content readable in black and white too.
- Add support or preparer details only where accurate and agreed with the organisation.
- Generate the document and inspect the actual downloaded file before issuing it.
A new project should not inherit another organisation’s logo, credit or preparer details. When reopening a project, check its saved settings before producing a fresh document.
Stage 6, Reduction plan, is for targets, measures and genuine management approval. All document generation is in stage 7, Check & download. Open Need a draft for review? and use Preview draft CRP or Download draft Word to check the figures and wording before approval. A draft shows its outstanding checks and is not ready for publication or submission. Complete the checks and record genuine approval before generating the final CRP; changing colours or adding a logo cannot remove draft status.
The main CRP and Evidence Pack controls are immediately visible. The separate Carbon Footprint Statement is optional and sits in its own closed explainer, with its own internal sign-off. It does not replace the declaration or approval within the CRP.
Keep three roles distinct
Adding an adviser’s name does not make them the approver and does not imply independent assurance. Record the actual approval through the existing review and approval process. Do not add a signature, declaration or assurance claim on someone else’s behalf.
What changes when you remove Carbon Verify branding?
Client-facing documents do not need Carbon Verify promotional branding. They still need their factor sources, methods, assumptions, limitations and relevant declarations. A neutral statement that the figures have not been independently verified remains important.
Removing a software logo does not turn an estimate into independently verified information, or guarantee that a buyer will accept it. Review the content against the purpose of the report and any specific recipient requirements.
Work with an editable Word document
Download the Word version when you need editable text and tables. You can adjust the surrounding explanation and presentation in Word, but treat the app as the working source for activity data, calculations, boundaries, targets and approval information.
If a substantive change is needed, return to the project, make it there, repeat the relevant review and obtain any renewed approval before issuing a replacement. Compare the regenerated file with any manual Word edits you want to retain. Keep an identifiable final version so recipients do not confuse it with a draft.
Check the downloaded Word file in the editor your recipient will use. Pay particular attention to page breaks, logo proportions, long organisation names, tables, headings, footers and approval wording.
Choose what to deliver
| File | Typical use | Before sharing |
|---|---|---|
| Carbon Reduction Plan: Word or HTML | A reduction plan for its stated voluntary, professional-review or buyer purpose. | Check the figures, narrative, status, required approval and recipient’s instructions. |
| Optional Carbon Footprint Statement: Word | A separate concise management or customer-facing footprint summary, only if useful. | Confirm the period, boundary, limitations and internal sign-off. It is not the CRP's own declaration. |
| Evidence Pack: Excel | A supporting calculation and review record. | It can contain sensitive working information. Share only what is appropriate. |
| Project file: .carbonverify | Continuing or handing over the editable work. | It is not a finished report. Agree who will maintain it and use a secure transfer method. |
| Original evidence | The bills, logs and documents behind the figures. | Keep these separately. A reference in the app is not an attached copy. |
Do not automatically bundle all of these together. Deliver the agreed reports; retain the working material or hand it over deliberately. The guide to carbon-reporting documents explains the different outputs in more detail.
The guided demo lets you compare plain, company-branded and adviser-supported styles for the selected fictional business. Its locked inputs and sample reports match the selected Standard or Extended coverage. Style changes do not change the figures, and the samples are not approved reports for your organisation.
A short final check
- Correct organisation, period, logo and preparer details.
- Readable tables and sensible page breaks in the actual file.
- Figures match the reviewed project and latest approval.
- Required sources, limitations and declarations remain intact.
- No unintended client information or internal working notes are being shared.
- A dated project file and the issued documents have been retained separately.
Next: save the editable project or follow the guide to preparing reports for clients.
